The Services include AI-powered job seeker online search services, candidate information processing, AI-generated email and LinkedIn outreach content, and account management. By accessing or using the Services, you acknowledge that you have read, understood, and agreed to the practices described herein.
Lexiom acts as a data controller where it determines the purposes and means of processing account registration, job seeker searches, and AI content generation. Where Lexiom processes personal information on behalf of third parties, Lexiom may act as a data processor. Personal information means any information that can identify a specific individual, including user account details, candidate information, job seeker names, contact details, LinkedIn contact information, and communication records. Lexiom does not intentionally collect sensitive personal information unless explicitly disclosed by you or required by law.
We collect personal information only for the purposes of providing and improving the Services. This includes account registration and login information; Google or Gmail account information accessed through OAuth scopes; LinkedIn account information for candidate outreach; role, company, and job title details for job seeker search; user input used to generate personalized outreach content; and support communications. Gmail data is used only to provide the specific recruiting workflow features authorized by the user and is never used for advertising, generalized AI model training, or purposes outside the Services.
We process personal information under applicable legal bases, including performance of a contract, legal obligations, legitimate interests, and consent. For users in the EEA, UK, or Switzerland, these grounds apply under GDPR or UK GDPR. For users in California, we process personal information to perform requested services, comply with legal obligations, and respond to legal rights requests. In other regions, processing is performed according to local privacy laws, user consent, contractual obligations, and legitimate business purposes.
We do not sell personal information for monetary gain. We may share personal information with trusted service providers, cloud hosting providers, AI technology partners supporting personalized outreach generation, Google for Gmail account binding and access permissions, LinkedIn for LinkedIn account binding, corporate transaction parties where applicable, or legal authorities when required by law or necessary to protect rights, property, or safety.
Lexiom is based in the United States. Personal information may be processed in Lexiom’s operating jurisdictions or in countries where service providers are located. To ensure data is protected during cross-border transfers, we rely on lawful transfer mechanisms such as the EU–U.S. Data Privacy Framework, UK Extension, Swiss–U.S. DPF, Standard Contractual Clauses, adequacy decisions, and other recognized mechanisms.
We and our service providers use cookies, web beacons, and similar tracking technologies to enhance the Services, analyze user behavior, and maintain account security. Essential cookies support login, session management, and basic functionality. Google Analytics may analyze website traffic and engagement. LinkedIn Insight Tag may support LinkedIn-related feature effectiveness. Cookie preferences may be managed through the cookie banner or browser settings.
We implement technical, administrative, and physical safeguards to protect personal information from unauthorized access, disclosure, alteration, or destruction. Measures include encryption in transit and at rest, access controls, multi-factor authentication for admin accounts, security audits, and vulnerability assessments. We retain personal information only as long as necessary for the purposes described in this Policy, then securely delete or anonymize it.
When you connect your Gmail account, we request OAuth permissions to view your Google account email address, basic profile information, send recruiting outreach emails on your behalf, and read candidate reply emails limited to threads initiated by Lexiom outreach. Gmail message content is processed transiently and is not stored persistently beyond what is necessary to update the recruiting pipeline. Google API data is not used for advertising, not used to train generalized AI models, not transferred or sold except as strictly necessary, and is subject to strict access controls.
You may revoke Gmail access within Lexiom under Settings → Gmail Integration → Disconnect, or directly through your Google Account permissions page. Upon disconnection, Lexiom will cease accessing Gmail data and delete cached Gmail-related data within 30 days, or sooner upon written request to marketing@lexiom.ai.
Your privacy rights may vary based on your region. To exercise your rights, contact us at marketing@lexiom.ai. Rights may include access, correction, deletion, restriction, data portability, withdrawal of consent, opt-out of certain processing, lodging a complaint with a local data protection authority, and region-specific rights under laws such as GDPR, UK GDPR, CCPA/CPRA, Singapore PDPA, Australia Privacy Act, and New Zealand privacy laws.
The Services are not intended for individuals under the age of 16, and we do not knowingly collect personal information from children under 16. If a parent or guardian believes a child has provided information to us, they may contact us at marketing@lexiom.ai to request deletion. The Services may contain links to third-party websites or services, and this Policy does not apply to those third parties. We may update this Policy to reflect changes in practices, legal requirements, or Services, and will post the updated Policy and effective date on the Lexiom website.
